For the past year and a half, I’ve struggled to find a CRM that works best for me. On that journey, I launched three different products in three different niches, and I kept running into the same struggle.

When launch day finally came, we had the leads, but the system wasn’t there to capture and talk to every single one of them.

I don’t know what stage you’re in, whether you’re a small business, have a small team, or are doing this all by yourself. When traffic hits and everything is running the way it should, you can’t meet all the demand because so much is happening.

You’re worrying about your website, your CRM automations are breaking, and things aren’t adding up the way they should. Suddenly, money starts slipping through the cracks, and you, as the business owner, can only do so much.

If you’re using GoHighLevel, HubSpot, or Salesforce (some of those bigger ones), especially if you’re by yourself, it can be confusing, and you may not know how to use it correctly.

The result of that, which is honestly the worst result, is that you start to miss out on money. All of your money, or all of your ad dollars if you’re spending money on your ads, is going down the drain because you can’t keep up with all the demand.

You don’t have the right systems in place to capture every single one of them.

One tool I used solved that problem. On my last launch, I captured every single person, and not a single person slipped through the cracks because the automations ran smoothly.

I have all the correct views, and I know where everything’s happening. I know where leads are and their full journey, too. That’s the power of a CRM, and if you’re not using one, I highly suggest you start.

You’re probably wondering, “Which one should I use?” Well, thanks for asking. The one I use and recommend for your small business is Close CRM.

Close CRM is the best all-around, simplest CRM for small business owners because you can create custom activities and simple automations.

That way, if a lead comes in and they take a certain action, they go into a Smartview. That Smartview captures them and either keeps them there until you take action or lets them go if they take a certain action.

That is why Close CRM has made me so much money. Instead of looking in 10 different places, I can check everything in a single bucket and know exactly where they are, what they’re doing there, and what needs to happen for them to get out. That is the power of Close CRM.

You are probably wondering what automations or Smartviews I am using. Lucky for you, I’m going to show you the exact ones I use, but here's a quick disclaimer: my sales process is different from yours, and this only works when you can define your sales process.

Depending on what you sell and how you sell it, you can sell through a phone call, Zoom, your website, or in person. All of that data really matters. Before you build anything on this CRM, I really want you to map out your sales process first.

Pause here, build out your sales process, and map out, from point 1 to point 10, A to Z, what happens on the customer side of your business. How does a brand-new face become a paying, happy customer?

Now that you have your sales process and have noted every single step, we can create all of these steps inside the CRM.

For me, I run a VSL book-a-call funnel:

  1. People come to my website.

  2. They watch a VSL.

  3. After they watch the VSL, they either apply and book a sales call or just apply

  4. If they just apply, a setter reaches out and calls them.

  5. Once the setter reaches out, they either connect or don’t. We log that.

  6. If they do connect, we try to get them on a sales call.

  7. If their sales call is booked, that’s great, but there are two possibilities: they either don’t show up, or they do.

  8. Use automation if they don’t show up for the call. If they do show up, I listen, understand what they’re struggling with, and see if I can genuinely help. If I can, great, we work together. If not, no worries.

  9. After that, one of two things happens: they become a customer, or they don’t.

That is my sales process.


Since you actually have all the steps in your business, here is everything. Now that it’s your full sales process that you’ve mapped out, it’s going to be your pipeline.

You’ll know exactly where they are in your pipeline, so your sales process should be your pipeline, and your pipeline should dictate your custom activities. From there, you are going to create all of your Smartviews.

If you’re wondering how much money I have made from this after implementing a sales team (which I can cover in another email), that’s a whole other story.

After implementing a sales team and having them go through this process so I don’t have to, we’ve collected about $30,000 USD in one week. This was their first week being onboarded.


That is the power of understanding your sales process and having a CRM that supports it. You’re probably wondering, “Wow, that’s a lot of money.”

It is a lot of money, but it wouldn’t have happened if I didn’t let a single person fall through the cracks. That’s super duper important.

When you follow up, contact the lead, know what kind of conversation you need to have with them, understand their pain points, and understand their journey through all the interactions they had with your company, all those small details add up.

When you do the small things right, you can get big results and big wins.
